Your privacy is important to me. Whether you contact LIFENUP about counselling, personal coaching, or business and executive coaching, you may share information that is personal or sensitive. I am committed to treating that information with care, confidentiality and respect.
This Privacy Notice explains what personal information I collect, why I collect it, how it is used and protected, how long it may be retained, and your rights in relation to that information.
Who is responsible for your information?
LIFENUP is the private practice of William J. Lanham-Parker, Integrative Counsellor & Coach.
For the purposes of UK data protection law, William J. Lanham-Parker trading as LIFENUP is the data controller responsible for the personal information collected and processed in connection with the practice.
LIFENUP is registered with the Information Commissioner's Office (ICO).

Information I may collect
The information I collect depends upon the nature of your contact with LIFENUP and the service being provided. It may include:
your name and contact details;
your date of birth and address, where appropriate;
information you provide through the LIFENUP website, by email or during an initial conversation;
emergency contact and GP details where appropriate;
information relevant to counselling or coaching;
health and wellbeing information where relevant to counselling;
appointment and attendance information;
correspondence between us;
billing, payment and invoicing information;
brief professional, session, or process notes; and
technical information relating to your use of the LIFENUP website.
Counselling may involve information concerning your physical or mental health, relationships, personal history, beliefs or other sensitive aspects of your life. Some of this information is classed as special category data under UK data protection law and is treated with additional care.
I aim to collect only information that is relevant and reasonably necessary for the service being provided.
Counselling records
Counselling session and process notes are identified using a client reference number rather than your name. Information that identifies you is maintained separately from these notes.
Client records are stored electronically within the LIFENUP Microsoft 365 business environment, with appropriate security measures in place.
Why I use your information
I may use personal information to:
respond to enquiries;
assess whether counselling or coaching may be appropriate;
arrange and provide counselling or coaching services;
communicate with you about appointments and our work together;
maintain appropriate professional records;
process payments and maintain financial records;
meet professional, ethical, insurance and legal obligations;
protect the safety and legitimate interests of clients and others where appropriate;
operate and maintain the LIFENUP website; and
understand, in aggregate, how visitors find and use the website.
Lawful basis for processing
I process ordinary personal information where this is necessary to take steps at your request before entering into a contract, to provide the counselling or coaching service we have agreed, to comply with legal obligations, or where I have a legitimate interest in administering and protecting my professional practice.
Counselling may involve the processing of sensitive information known as special category data, including information about health, relationships, beliefs or other aspects of your personal life. Where required, I will obtain your explicit consent to process this information.
In limited circumstances, another lawful condition may apply, for example, where processing is necessary to protect someone's vital interests or in connection with legal claims.
I collect and retain only information that is reasonably necessary for the purposes for which it is being used.
Confidentiality
Information shared during counselling and coaching is treated as confidential.
Confidentiality is not absolute. There may be circumstances in which information needs to be disclosed, including where there is a serious concern about your safety or the safety of another person, where safeguarding responsibilities arise, or where disclosure is required by law.
Wherever reasonably possible and appropriate, I would seek to discuss such a disclosure with you beforehand.
As part of responsible professional practice, I may discuss client work in professional supervision. Information shared in supervision is kept to the minimum reasonably necessary and handled in a way that seeks to protect your identity.
More detailed confidentiality arrangements applicable to counselling or coaching are explained in the relevant client agreement.
Who may process or receive your information?
I do not sell your personal information.
Where necessary for operating LIFENUP, information may be processed using reputable service providers. These may include services used for:
website hosting and enquiries;
business email and electronic document storage;
online video meetings;
accounting, invoicing or payment administration; and
website analytics.
Professional advisers, insurers, regulatory or professional bodies may receive relevant information where this is necessary and appropriate.
Information may also be disclosed where required by law or where disclosure is necessary and justifiable in connection with safeguarding or serious risk.
Service providers and international data transfers
LIFENUP uses third-party technology and professional service providers to operate the practice. These may include Microsoft 365, videoconferencing services, Squarespace, Google Analytics and other providers required for communication, administration, website operation and record keeping.
Some providers may process or store personal information outside the United Kingdom. Where personal information is transferred internationally, reasonable steps are taken to ensure that appropriate safeguards recognised by UK data protection law are in place.
Website cookies and analytics
The LIFENUP website may use cookies and similar technologies that are necessary for the website to operate securely and effectively.
With your consent where required, the website may also use analytics services, including Google Analytics, to help understand how visitors find and use the website. This information is used to assess website performance and improve the experience offered to visitors.
Non-essential cookies or similar technologies will not be used without the appropriate consent where consent is required by law.
You can manage your choices through the cookie controls provided on the website and through your browser settings.
How long I keep information
Personal information is retained only for as long as there is a legitimate professional, ethical, insurance, contractual or legal reason to keep it.
Different categories of information may therefore be retained for different periods.
Counselling and coaching records: Records relating to counselling and coaching are retained for a period appropriate to the nature of the work and any applicable professional, legal and insurance requirements. Retention periods are reviewed periodically, and records are securely deleted when there is no longer a legitimate reason to retain them.
Financial records: Financial and business records are retained for the periods required by HMRC and other applicable legal requirements.
Enquiries: Where an enquiry does not result in an ongoing professional relationship, personal information will not be retained longer than is reasonably necessary for administrative, safeguarding, or legal purposes.
Security
I take reasonable technical and organisational measures to protect personal information against unauthorised access, accidental loss, misuse, or disclosure.
These measures include the appropriate use of access controls, password protection, and reputable business technology services.
No method of electronic communication or storage can, however, be guaranteed to be completely secure.
Your rights
Depending upon the circumstances and applicable law, you may have the right to:
be informed about how your personal information is used;
request access to personal information held about you;
ask for inaccurate or incomplete information to be corrected;
request deletion of information in certain circumstances;
request restriction of processing in certain circumstances;
object to certain uses of your information;
request transfer of certain information to you or another organisation; and
withdraw consent where processing is based upon consent.
These rights are not absolute and may be subject to legal, professional or regulatory requirements.
